Job Description
The Senior Coordinator, Global Policy Impact (Maternity Cover) provides critical strategic and operational support to the Director of Global Policy Impact. This role involves managing complex calendars, facilitating internal coordination across team workstreams, organizing international workshops/events, and maintaining internal communications platforms like SharePoint to keep WWF teams aligned globally.
Major Duties and Responsibilities
Director Support: Provide strategic and operational support to the Director of Global Policy Impact, including preparation of briefings, coordination of priorities, and follow-up on key actions and decisions.
Administrative Coordination: Provide proactive calendar management, travel coordination, and submission of expense reports for the Director and cluster Heads, ensuring schedules run smoothly and logistics are efficiently organized.
Team Coordination: Facilitate internal coordination across the Global Policy Impact team, ensuring alignment of workplans, timelines, and deliverables across multiple workstreams.
Event Planning: Support team in the coordination of global policy fora, and organize internal meetings, workshops, and retreats, including agenda development, logistics, documentation, and follow-up actions.
Knowledge Management: Manage and maintain the team’s SharePoint site, ensuring shared resources and documentation are well-organized, accessible, and support effective collaboration.
Communications: Build and update an internal SharePoint communications site to keep internal colleagues informed and aligned with key updates, priorities, and organizational developments.
Strategy & Planning: Support the development and monitoring of strategic plans, annual workplans, and internal reporting processes, ensuring alignment with departmental goals.
Finance & Administration: Assist with budget tracking, procurement processes, contract management, and compliance with internal procedures.
Required Qualifications
University degree preferably in business administration.
At least 5-7 years’ relevant experience as a senior or executive assistant in an international environment.
Required Skills and Competencies
A flexible working style, absolute discretion and unfailing diplomacy.
Excellent command of written and spoken English; other languages would be an advantage.
Experience in designing and managing internal communication tools and assets.
Computer literate and numerate in Microsoft Office and Google Suite with additional ability to use online collaborative tools for communication, interactive presentations, and digital whiteboards.
Experience of working in a multi-tasking and international environment.
Ability to run multiple projects at the same time.
Independent self-starter.
Precision and timeliness in completion of tasks and projects.
