Job Description
AA Kenya is seeking a highly organized and detail-oriented HR Operations Officer to join our team. Reporting to the Human Resources & Administration Manager, this role is responsible for providing operational leadership and support in managing payroll processing, statutory compliance, employee leave administration, benefits management, and HR data integrity. The position is critical for ensuring seamless HR service delivery, supporting employee satisfaction, and enabling the business to focus on its core motoring services.
Job Summary
The purpose of this role is to manage day-to-day HR operations with a strong focus on payroll accuracy, statutory deductions and remittances, leave and benefits administration, and maintenance of reliable HR data and records. The position holder shall ensure efficient processing of HR transactions, compliance with all relevant laws, and timely support to employees and line managers.
Key Responsibilities
Payroll Processing and Administration
Manage end-to-end monthly payroll processing, including salary calculations, deductions, and payments.
Ensure the accuracy and timeliness of payroll runs and disbursements.
Prepare and distribute pay slips and payroll reports.
Reconcile payroll accounts and resolve discrepancies.
Statutory Compliance and Remittances
Ensure timely and accurate computation, deduction, and remittance of all statutory contributions (NHIF, NSSF, PAYE, Housing Levy, etc.).
Prepare and submit statutory returns and reports as required by law.
Maintain up-to-date knowledge of changes in labour and tax legislation affecting HR operations.
Coordinate HR audits and facilitate compliance reviews.
Leave and Benefits Administration
Manage employee leave entitlements, applications, tracking, and records.
Administer staff benefits, including medical insurance, group life assurance, and other welfare schemes.
Process benefit claims and ensure the timely resolution of employee queries.
Coordinate annual benefits renewal and open enrolment processes.
HR Data Management and Reporting
Maintain accurate and secure HR records and databases (employee files, personal data, contracts, etc.).
Generate HR reports and dashboards on headcount, turnover, leave balances, and other key metrics.
Ensure data integrity and compliance with data protection regulations.
Support HR analytics and provide data for management decision-making.
General HR Operations Support
Handle employee onboarding and offboarding documentation and processes.
Respond to employee queries on payroll, leave, benefits, and HR policies.
Support the development and implementation of HR policies and procedures related to operations.
Collaborate with finance and other departments to ensure seamless HR operations.
Minimum Qualifications and Requirements
Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
A professional qualification in HR (CHRP or equivalent) is an added advantage.
At least 3 years’ experience in HR operations with a strong focus on payroll and statutory compliance.
Sound knowledge of Kenyan labour laws, tax regulations, and statutory requirements.
Proficiency in HRIS/payroll systems and Microsoft Office Suite.
Member of a professional HR body (IHRM) will be an added advantage.
