About the Role
MSF Supply Kenya is seeking a Warehouse Referent to design, coordinate, and guarantee the implementation of a responsive, agile, and efficient warehousing activity. The role is focused on meeting the evolving needs of MSF Supply Kenya by defining standards, policies, and strategies according to MSF Supply protocols. The selected candidate will ensure the optimal running of warehousing operations and will report to the General Manager for daily supervision.
Key Responsibilities and Duties
Structural Storage Strategy
Guarantee optimal flow and organization across three warehouses (approx. 2,800 m²), including designing or redesigning racking layouts based on operational needs.
Define required storage volumes, providing analysis to justify proposals or investments (e.g., new warehouses, layouts, or machinery).
Ensure compliance with Occupational Safety and Health (OSH) and Good Storage & Distribution Practices (GSDP) under the guidance of the responsible pharmacist and MSF Supply Warehouse Coordinator.
Collaborate with the Base Logistician to ensure facility maintenance plans are updated and followed.
Define safety and security measures for the warehouses.
Resource Management
Propose budgets for warehousing activities (investments, maintenance, consumables, and HR) and ensure efficient use of approved budgets.
Supervise 5 warehouse team members and evaluate needs for casual workers, including recruitment and setup revision to optimize workload.
Provide technical support, coaching, and training to build warehouse staff capacity.
Define machinery requirements (forklifts, reach-trucks, etc.) and lead organizational change initiatives related to digitalization and continuous improvement.
Processes & Tools Optimization
Manage physical and administrative handling of products (SOPs, Work Instructions) following MSF standards in conjunction with the Quality Department.
Ensure active and timely use of quality system tools (Deviations, CAPA, change control) by the warehouse team.
Contribute to the definition and optimization of the Warehouse Management System (WMS) to be used in Kenya, including setting parameters like transfer levels and picking routes.
Leadership & Operational Activity
Contribute to interoperability and alignment with MSF Supply’s strategic direction.
Promote MSF values including Collaboration, Respect, Equity, Integrity, Commitment, and Flexibility.
Analyze monthly/quarterly data to anticipate issues and propose solutions.
Allocate resources across sites and support the Warehouse Supervisor in daily planning (Picking, Offloading, Loading).
Monitor daily activities and stock compliance, reporting any deviations.
Qualifications and Experience
Education: Diploma in Supply Chain Management or related field with 10 years of experience in Warehouse Management, OR a Degree/Master’s in Supply Chain Management or related field with 5 years of experience in Warehouse Management.
Experience: At least 3 years of experience in team management is required. Experience in pharmaceutical product management and warehouse layout design is highly desirable.
Skills: Strong diplomacy, cultural sensitivity, patience, and a proactive approach. Must be organized, attentive to detail, and computer literate.
Strengths: Excellent communication and reporting skills; strong initiative and team player attributes.
Languages: Proficiency in written and oral English and Swahili.
