Job Description
Role Overview
The Warehouse Referent is responsible for designing, coordinating, and guaranteeing the implementation of a responsive, agile, and efficient warehousing activity that meets the changing needs of MSF Supply Kenya. The role involves defining standards, policies, and strategies according to MSF Supply protocols to ensure optimal running of MSF Supply Kenya warehousing operations. The selected candidate will report to the General Manager for daily supervision.
Key Responsibilities
Structural Storage Strategy
Guarantee optimal flow and organization across three warehouses (approx. 2,800 m²), including designing or redesigning racking layouts based on operational needs.
Define the storage volume needed, providing analysis justifying proposals or investments (new warehouse, new layout, new machinery, etc.).
Ensure Occupational Safety and Health (OSH) and Good Storage & Distribution Practices compliance under the guidance of the MSF Supply Kenya responsible pharmacist.
Collaborate with the Base Logistician to ensure maintenance plans for warehouse facilities are followed and updated.
Define safety and security measures for the warehouses.
Resource Management
Propose budgets for warehousing activities (investment, maintenance, consumables, HR) and ensure efficient use of agreed budgets.
Supervise 5 warehouse team members, evaluating needs for casual workers, recruiting, and optimizing workload.
Provide technical support, coaching, and capacity building for warehouse staff.
Lead organizational change initiatives related to digitalization and process improvement.
Process and Tool Optimization
Manage physical and administrative aspects of products following MSF Supply standards in conjunction with the Quality Department.
Actively use quality system tools (Deviations, CAPAs, Change Control).
Contribute to the definition and optimization of the Warehouse Management System (WMS) used in MSF Supply Kenya.
Define operational parameters (transfer levels, picking routes) in collaboration with the Brussels team.
Leadership and Operational Support
Contribute to MSF Supply’s strategic direction and promote core values (Collaboration, respect, equity, integrity, commitment, and flexibility).
Analyze monthly/quarterly warehouse data to identify issues and propose solutions.
Allocate resources across sites and support the Warehouse Supervisor in planning daily activities (Picking, Offloading, Loading).
Monitor implementation of daily activities and medical/logistics stocks compliance.
Qualifications and Experience
Education: Diploma in Supply Chain Management or related field with 10 years' experience in Warehouse Management, OR a Degree/Masters in Supply Chain Management or related field with 5 years' experience.
Team Management: At least 3 years of experience in team management.
Technical Skills: Experience in pharmaceutical product management is highly desirable. Experience in designing warehouse layouts is a plus.
Soft Skills: Diplomacy, cultural sensitivity, patience, proactive nature, flexibility, and strong attention to detail.
Language: Proficiency in written and oral English and Swahili.
Tools: Computer literate with excellent reporting skills.
