Role Overview
The Warehouse and Sourcing Officer is responsible for managing the end-to-end supply chain for fresh produce and FMCG goods. This includes identifying and managing farmer relationships, negotiating procurement terms, ensuring quality control, and overseeing warehouse operations. The role requires high precision in inventory management, dispatch coordination, and the utilization of ERP systems (specifically Odoo) to ensure 100% stock accountability and operational efficiency.
Key Responsibilities
Farm Produce Sourcing and Planning
- Supplier Management: Identifying, vetting, and managing relationships with farmers and suppliers to ensure a steady supply of high-quality fresh produce and FMCG goods.
- Negotiation: Negotiating terms, pricing, and contracts with suppliers to ensure cost-effective procurement.
- Quality Control: Ensuring all sourced products meet the required quality standards and specifications.
- Logistics Coordination: Ensuring timely delivery of produce from farms to the Pack House.
- Operational Efficiency: Utilizing data-driven insights to optimize the supply chain and reduce operational costs.
Stocks Dispatch and Returns (ERP Usage)
- Verify that all dispatched products match the orders placed and are dispatched to the correct depots/routes.
- Ensure stocks dispatch both physically and in the system (Odoo) is completed by 5 AM daily.
- Maintain 100% alignment between physical stocks, manual dispatch books, and Odoo ERP; address any variances before shift hand-over.
- Quality Control (QC) stocks returning from routes to ensure only the right quality is processed back through Odoo; dispose of defects according to company SOPs.
Stocks Controllership and Inventory
- Verify that all purchased stock tallies with deliveries by running daily reports on intake and batch variances.
- Prepare inventory reconciliation reports, verifying that all intakes match respective invoices and all variances are accounted for before closing the shift.
- Observe intake and dispatch processes and suggest documented improvements.
- Reconcile declared inventory dispatches against actual intake.
- Enforce all safety rules, including daily toolkit routines and usage of PPE.
Warehousing and Compliance
- Measure and report on performance metrics within the shift.
- Reconcile stock positions to minimize losses and shrinkage.
- Automate processes by presenting viable business cases.
- Execute processing plans and optimize resource allocation within agreed standards.
- Enforce compliance with relevant regulations and Taimba quality standards.
Product, Asset Management, and Reporting
- Receive, reconcile, and report on products and assets within agreed SLAs.
- Maintain custody of all relevant documentation, including records of labor utilized.
- Utilize organization systems to capture accurate and timely data for decision-making.
- Present comprehensive, accurate reports with trends, insights, and recommendations.
Analytics and Decision Making
- Analyze sales and business data for strategic decision-making on E-Commerce platforms.
- Apply analytical thinking to quickly grasp new ideas and subject matter.
