Role Overview
The Transport & Customs Intern will work under the support and supervision of the Transport and Customs Manager (TCM) to learn the daily operations of the transport department. This role provides an opportunity to understand the collaboration with Procurement, Warehouse, and Supply Operation Departments on various supply chain tasks within an international humanitarian context.
Key Learning Areas and Responsibilities
- Clearing and Forwarding: Coordinate clearing agents’ tasks to ensure freights are cleared on time at no or minimum cost.
- Freight Monitoring: Coordinate and monitor the transportation of goods in and out of MSF Supply Kenya until delivery to missions.
- Compliance: Monitor the implementation of Transport and Customs-related procedures to ensure compliance with MSF standards, protocols, and procedures.
- Documentation: Support the consolidation of packing lists for goods received at MSF Supply Kenya and create freight documents in the 'nodhos' system for the pre-clearance process.
- Tax Exemptions: In collaboration with mission Transport Managers and the Intersectional Customs Manager (MICO), follow up on tax exemption files to ensure faster receipt of Tax Exemptions (TE).
- Warehouse Management: Understand Export Processing Zone (EPZ) Warehouse operations, keeping proper records of freights in and out of Transit Go-Down (TGD) and the EPZ warehouse, and filing returns with the Kenya Revenue Authority (KRA) and EPZA.
- Certification: Follow up with clearing agents and transporters to receive Certificates of Exports (COE).
- Licensing: Learn how to follow up and ensure licenses for EPZ and TGD warehouses are renewed on time without penalties.
- Financial Administration: Learn how to screen transport invoices for validation, obtain necessary signatures, and forward them to Finance for timely payment.
- Invoice Verification: Consolidate transporter and clearing agent invoices and ensure charges match agreed tariffs.
- Archiving: Follow up and perform proper archiving of freight documents.
- Reporting: Participate in the preparation of monthly reports and KPIs.
- Special Project: Develop a video explaining the tools and ordering process for international orders routed to MSF Supply Kenya before the end of the internship.
Qualifications and Requirements
- Education: Bachelor’s degree with a specialization in Logistics, Supply Chain, or a related field.
- Recency: Must have graduated within the last six (6) months.
- Skills: Strong interpersonal and communication skills; computer literacy.
- Attributes: High attention to detail and accuracy; ability to work independently and as part of a team.
- Languages: Proficiency in written and spoken English and Swahili.
- Exit Requirement: Ability to write a discovery report/feedback at the end of the internship period.
