Job Description
Role Overview
The Senior Office Assistant within the Human Resource and Administration Division at KIPPRA is responsible for coordinating support services and maintaining a high standard of office cleanliness, security, and logistical efficiency.
Key Responsibilities
Staff Coordination: Develop and maintain duty rosters to ensure efficient allocation and availability of support staff.
Office Hygiene: Supervise the cleaning of offices and related facilities (including furniture, equipment, windows, hallways, and lavatories) to maintain strict hygiene standards. This includes ensuring trash collection, disposal, and replenishment of toiletries.
Waste Management: Oversee the timely collection, segregation, and disposal of office waste according to set guidelines.
Administrative Logistics: Coordinate the recording, movement, and filing of documents, and ensure the prompt dispatch of mail and packages.
Facility Management: Ensure office premises are opened and locked on schedule and that security protocols are strictly observed.
Environmental Standards: Monitor and maintain habitable office conditions, focusing on cleanliness, lighting, and general tidiness.
Hospitality: Coordinate the preparation and timely serving of tea and refreshments, including the cleaning of utensils and kitchen facilities during meetings and office hours.
Asset Movement: Handle the packing and arrangement for moving office equipment, documents, and furniture from one location to another.
Inventory Control: Manage the storage of cleaning solutions and toiletries.
General Support: Perform confidential general office support tasks as directed by management.
Requirements
Experience: A minimum cumulative service period of nine (9) years, with at least three (3) years served at the grade of Office Assistant I or a comparable position.
Education: Kenya Certificate of Secondary Education (KCSE) mean grade D (plain).
Skills: Proficiency in computer applications.
Merit: Demonstrated merit and ability as reflected in work performance and results.
