Job Description
The Senior Office Administrator at the Kenya Institute for Public Policy Research and Analysis (KIPPRA) will be responsible for providing high-level administrative support within the Office of the Executive Director. The role involves overseeing secretarial personnel, fostering a positive organizational culture, and ensuring the efficient management of office workflows, records, and communications to support the Institute's strategic objectives.
Key Responsibilities
Leadership and Performance Management: Coordinate the performance management of direct reports by guiding and supervising lower-level secretarial personnel. Conduct coaching, mentoring, training, and development to ensure an effective and motivated team.
Organizational Culture: Foster and promote a positive culture of growth that embraces change management and enhances organizational performance.
Secretarial Support: Take oral dictation and utilize e-office systems to research and process data efficiently.
Office Operations: Operate office equipment and manage the security, integrity, and confidentiality of office records, documents (including classified materials), and data.
Communication Management: Handle telephone calls, attend to visitors/clients, and manage customer inquiries and complaints with professional etiquette.
Logistics and Scheduling: Coordinate schedules for meetings and appointments and manage complex travel arrangements.
Information Management: Establish and monitor procedures for record-keeping, file movements, and maintenance of an up-to-date filing system.
Administrative Correspondence: Prepare responses to routine correspondence and manage office protocol.
Financial Administration: Responsible for the management of petty cash.
Requirements and Qualifications
Experience: A minimum cumulative service period of six (6) years, with at least three (3) years served at the grade of Office Administrator I or a comparable position.
Education:
A Bachelor’s degree in Secretarial Studies or a Bachelor of Business and Office Management from a recognized institution.
OR a Bachelor’s degree in Social Sciences plus a Diploma in Secretarial Studies from a recognized institution.
Certification: A certificate in a public relations and customer care course lasting at least two (2) weeks from a recognized institution.
Technical Proficiency: High level of proficiency in computer applications.
Proven Track Record: Demonstrated merit and ability as reflected in past work performance and results.
