Job Description
The Senior Assistant Office Administrator at the Kenya Institute for Public Policy Research and Analysis (KIPPRA) plays a critical role within the Directorate of Corporate Services. This position is responsible for overseeing administrative functions, supervising secretarial staff, and ensuring the smooth flow of office operations. The successful candidate will maintain high standards of office management, security of records, and promote a positive organizational culture.
Key Responsibilities and Duties
Coordinating performance management of direct reports by guiding and supervising lower secretarial personnel.
Conducting supervision, coaching, mentoring, training, and development of department staff to ensure an effective and motivated team.
Fostering and promoting a positive culture of growth in the Institute that embraces change management and organizational performance.
Taking oral dictation and performing word and data processing.
Managing the e-office and operating various office equipment.
Handling telephone calls, scheduling appointments, and attending to visitors and clients.
Maintaining the office diary and arranging travel itineraries.
Establishing and monitoring procedures for record-keeping of correspondence and file movements.
Maintaining an up-to-date filing system and managing office protocol.
Ensuring the security of office records, equipment, and documents, including classified materials.
Supervising office cleanliness and managing petty cash.
Qualifications and Person Specifications
For appointment to this grade, a candidate must have:
A cumulative service period of nine (9) years, with at least three (3) years at the grade of Office Administrative Assistant I or a comparable position.
A Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC).
OR Business Education Single and Grade Certificate (BES&GC) from KNEC in: Typewriting III (Min 50 w.p.m.)/Computerized Document Processing III, Shorthand III (100 p.m), Business English III/Communications II, Secretarial Duties II, Office Practice II, Commerce II, and Office Management III/Office Administration and Management III.
A Certificate in a public relations and customer care course lasting at least two (2) weeks from a recognized institution.
Proficiency in computer applications.
Demonstrated merit and ability as reflected in work performance and results.
