About the Role
BURN is seeking a detail-oriented and proactive Purchasing Agent to support procurement operations at our Nairobi office. Reporting to the Category Manager, the role will be responsible for managing purchase orders, coordinating with suppliers, and ensuring the timely and cost-effective sourcing of materials and services to support production and operational needs.
The ideal candidate is highly organised, analytical, and comfortable operating in a fast-paced manufacturing environment, with a strong commitment to accuracy, accountability, and continuous improvement.
Duties and Responsibilities
Purchase Order Management: Place and manage purchase orders with relevant local material and service suppliers, ensuring timely delivery through consistent follow-up and coordination.
RFQs and Evaluations: Prepare and issue Requests for Quotations (RFQs); analyse bids, conduct bid evaluations, and present recommendations for approval to the HQ and relevant departments.
Vendor Sourcing: Support in conducting market research and due diligence to identify and evaluate potential vendors.
Stakeholder Communication: Provide regular updates to internal stakeholders regarding the status of procurement requests.
Workflow Integration: Convert end-user requests into Procurement Requests and Purchase Orders; ensure timely approvals and follow-ups.
Inbound Logistics: Collaborate with warehouse staff to plan for inbound deliveries and ensure optimal storage arrangements.
Supplier Relations: Foster strong communication and maintain professional relationships with suppliers.
Material Procurement: Work closely with engineering and warehouse teams to procure spare parts, consumables, and production materials as per technical specifications.
Documentation: Maintain accurate and organized procurement documentation and filing systems.
Financial Planning: Update weekly cash forecasts to inform supplier payment schedules in line with negotiated terms.
Performance Monitoring: Support as required in conducting vendor appraisals and analysing supplier performance for continuous improvement.
Requirements and Qualifications
Education: Bachelor’s degree or Diploma in a relevant field.
Certification: Studies or a course in Procurement or Supply Chain Management is required.
Experience: Minimum 1 year of experience in a similar procurement role, preferably in a manufacturing environment.
Knowledge: Fundamental understanding of procurement best practices, vendor management, ERP systems, and contract negotiation.
IT Skills: Proficiency in Procurement systems and Microsoft Office Suite (especially Excel/Spreadsheets).
Soft Skills: Excellent organisational, communication, interpersonal, analytical, and problem-solving abilities.
Integrity: High level of integrity and extreme attention to detail.
