Job Description
The Principal Office Administrator at the Office of the Executive Director at KIPPRA is a senior administrative role responsible for overseeing the efficient operation of the executive office. The role entails providing high-level administrative support, managing departmental budgets and work plans, and supervising staff to ensure alignment with the Institute's strategic objectives. The administrator serves as a key point of contact for corporate consultations and ensures the security and integrity of executive records and communications.
Key Responsibilities
Strategic Planning & Budgeting: Provide input into the formulation and review of departmental annual work plans, budgets, and procurement plans in line with performance targets.
Process Improvement: Develop and implement mechanisms for continuous improvement of business processes and controls within the section.
Risk Management: Supervise the execution of risk management policies and internal controls to ensure accountability and business continuity.
Performance Management: Monitor and implement robust performance management systems within the section to ensure delivery of strategic goals.
Governance & Compliance: Oversee the implementation of corporate governance principles and relevant national policies/directives.
Staff Supervision: Conduct mentoring, coaching, and training of section staff to maintain a motivated and effective team.
Office Operations: Handle oral dictation, operate office equipment, and utilize e-office systems for data processing and research.
Communication & Protocol: Manage telephone calls, handle customer inquiries/complaints, and oversee office protocol and etiquette.
Logistics Coordination: Coordinate schedules for meetings, appointments, and travel arrangements.
Information Security: Ensure the security and confidentiality of office records, documents, and data integrity.
Administrative Support: Manage petty cash, maintain filing systems, and prepare responses to routine correspondence.
