Job Description
The Principal Administration Officer at the Kenya Institute for Public Policy Research and Analysis (KIPPRA) is a senior leadership role within the Administration Division. The successful candidate will be responsible for the strategic and operational management of administrative functions, providing technical input for the formulation of departmental work plans, budgets, and procurement strategies. The role ensures that the Institute's administrative processes align with its strategic plan while maintaining robust internal controls, risk management systems, and a conducive work environment.
Key Responsibilities
Provide technical input for the formulation, implementation, and review of departmental annual work plans, budgets, and procurement/asset disposal plans.
Supervise risk management policies and strategies to ensure accountability, business continuity, and internal control effectiveness.
Oversee the implementation of Corporate Governance principles and relevant national policies/directives.
Manage office accommodation and layout to ensure a conducive environment for KIPPRA staff.
Direct day-to-day administrative activities, including transport, logistics, and office maintenance.
Coordinate the maintenance and repair of all Institute vehicles and manage common service bills (electricity, insurance, licenses).
Maintain a comprehensive catalogue of Institute assets and properties, identifying items for disposal when necessary.
Supervise outsourced administrative services and ensure the security of institutional files and records.
Facilitate stakeholder engagement and foster an ethical corporate culture.
Implement Business Process Re-engineering (BPR) and business continuity plans within the department.
Requirements
A cumulative service period of at least nine (9) years of relevant experience, with at least three (3) years at the grade of Senior Administration Officer or a comparable position.
Bachelor’s degree in Public Administration, Business Administration, Political Science, or an equivalent qualification from a recognized institution.
Certificate in a management course lasting at least four (4) weeks from a recognized institution.
Valid membership from a relevant professional body and in good standing.
Proficiency in computer applications.
