Job Description
The IFF Operator (Operations) is responsible for providing quality customer service, facilitating the clearance of client cargo, and managing day-to-day operational relationships with clients.
Key Responsibilities
Customer Service & Operations
Receive and process client orders (with validated tariffs from quotations).
Request missing documentation and detailed instructions from clients when necessary.
Inform clients of real-time file processing progress through standard or specific reports.
Alert clients of potential or actual operational issues and escalate unresolved matters to the IFFOS.
File Processing Management
Open and manage daily operation files.
Share shipment status and pre-alerts with clients daily.
Mitigate client disputes, including drafting Kenya Ports Authority (KPA) waiver letters for additional charges.
Provide monthly TEU projections to the transport team.
Update SPOT & Way tracking systems in real-time.
Manage demurrage notification and recovery upon receiving shipping line detention invoices.
Escalate files with unresolved disputes to the supervisor.
Process and draft invoices for cleared shipments to forward for billing.
Profile & Requirements
Education: Diploma in Clearing and Forwarding.
Experience: Minimum of 3 years of experience in Clearing & Forwarding or a related field.
Certifications: East Africa Freight Forwarding Practicing Certificate (EAFFPC) is highly advantageous.
Specialized Knowledge: Deep understanding of the Single Customs Territory.
