Job Description
The Executive Secretary/Senior Office Administrator provides high-level administrative and strategic support to the CEO's office and the Authority. This role is responsible for coordinating the implementation of policies and strategies, managing complex schedules, and ensuring effective communication between the Authority and its stakeholders.
Key Responsibilities
Coordinate the implementation of policies, strategies, and programmes regarding advocacy, coordination, and guidance to ensure Authority decisions and targets are met.
Provide strategic support for assigned projects, including representation in meetings and low-level negotiations.
Draft official communication, reports, proposals, and papers.
Manage board relations, including drafting board notes and coordinating board meetings with the CEO’s office.
Perform extensive management of the CEO’s diary.
Organize all internal and external meetings, including preparing rooms, refreshments, and accommodation facilities.
Handle forward planning, firefighting, and strategic problem-solving.
Organize all travel and visa logistics as required.
Manage public relationships and protocol.
Prepare talking points for the CEO for public and industry events.
Assist with media relations.
Person Specification
For appointment to this grade, an officer must have:
A minimum period of four (4) years of relevant work experience.
Bachelor’s degree in Administrative Services, Office Management, Secretarial, or Clerical related studies or equivalent qualification from a recognized institution.
Supervisory Skills course from a recognized institution.
Shown merit and ability as reflected in work performance results.
Proficiency in Computer Applications.
