Job Description
The Depot Field Clerk is responsible for supporting efficient depot and logistics operations by coordinating truck loading documentation, customs processing, and acting as a liaison between the company, Kenya Pipeline Company (KPC), and the Kenya Revenue Authority (KRA). This role ensures the timely and compliant dispatch of petroleum products through meticulous documentation management and operational support.
Key Responsibilities
Truck Coordination & Pre-Checks: Coordinate and assist in pre-checks of trucks before loading to ensure compliance with safety and operational requirements. Verify all truck documentation and driver compliance prior to dispatch.
Customs & Loading Documentation: Promptly lodge truck loading orders with customs authorities to facilitate clearance. Present documentation files to KRA for gate pass processing to ensure trucks are released on time.
Documentation Delivery: Deliver Bills of Lading (BoL), seals, and other essential dispatch documentation to drivers before they depart. Ensure drivers understand and sign for all received documents.
Liaison with KPC & KRA: Serve as a runner to update and submit any missing truck information to KPC offices, preventing dispatch delays. Monitor and follow up on clearance status with KRA, providing updates to the operations team.
Operational Support: Maintain precise records of all documents delivered, collected, and submitted during daily operations. Promptly escalate any discrepancies, documentation issues, or delays to the supervisor. Assist with other tasks to maintain smooth depot operations.
Requirements and Qualifications
Diploma in Customs Administration, Clearing and Forwarding, or a related field.
2–3 years of experience in a similar role, preferably within the petroleum industry.
Solid understanding of customs and KRA gate pass processing procedures.
Familiarity with KPC operational requirements for truck dispatch.
Good interpersonal and communication skills for liaising with drivers, customs, and operational teams.
Strong attention to detail and the ability to work in a fast-paced environment.
Ability to handle outdoor tasks and move efficiently between various offices (depot, KRA, KPC).
