Job Description
The Independent Policing Oversight Authority (IPOA) is seeking to recruit six (6) Assistant Office Administrators III. The primary purpose of this role is to provide effective and efficient secretarial services throughout the Authority. The officer will be responsible for supporting administrative policies, managing office records, and handling daily communication and visitor interactions.
Key Responsibilities
Policy Implementation: Support the implementation of policies, strategies, guidelines, plans, standards, and procedures impacting Office Administration Services.
Correspondence: Take oral dictation and prepare responses to simple routine correspondences.
Records Management: Maintain an up-to-date filing system and ensure the security of office records, equipment, and documents.
Diary & Itinerary Management: Manage the office diary, appointments, and travel itineraries.
Communication: Answer and direct phone calls appropriately.
Data Management: Collect and collate data for internal and external reports while ensuring data security, integrity, and confidentiality.
Office Operations: Operate office equipment and attend to visitors/clients.
Requirements for Appointment
For appointment to this grade, an officer must have the following qualifications:
Option 1: A Diploma in Secretarial Studies from the Kenya National Examination Council (KNEC) or equivalent qualifications from a recognized institution.
Option 2: Business education single and group certificate stages I, II, and III from KNEC in the following subjects:
Shorthand III (80 w.p.m.)
Typewriting III (50 w.p.m.) / Computerized Document Processing III
Business English III / Communication II
Commerce II
Office Management III / Office Administration and Management III
Secretarial Duties II
Additional Requirement: Proficiency in Computer applications.
