Role Overview
The Independent Policing Oversight Authority (IPOA) is looking for an Assistant Office Administrator II. The successful candidate will be responsible for providing secretarial services in an effective and efficient manner throughout the Authority. This role involves managing office communications, schedules, and records while maintaining a high level of confidentiality and professionalism.
Key Responsibilities
Policy Implementation: Support the implementation of policies, strategies, guidelines, and procedures related to Office Administration Services.
Communication & Dictation: Take oral dictation and prepare responses for routine correspondences.
Records Management: Maintain an up-to-date filing system and ensure the security of office records, equipment, and sensitive documents.
Logistics & Scheduling: Manage office diaries, appointments, and travel itineraries.
Call Handling: Answer and direct phone calls to the appropriate departments or individuals.
Data Reporting: Collect and collate data for developing internal and external reports while ensuring data integrity and confidentiality.
Office Operations: Operate various office equipment and provide front-desk services by attending to visitors and clients.
Qualifications and Experience
Served for a minimum period of three (3) years at the grade of Assistant Office Administrator III or in a comparable and relevant position.
Diploma in Secretarial Studies from the Kenya National Examination Council (KNEC) or equivalent qualifications from a recognized institution.
OR Business Education single and group certificate stages I, II, and III from KNEC in the following subjects:
Shorthand III (100 w.p.m.)
Typewriting III (50 w.p.m.) / Computerized Document Processing III
Business English III / Communication II
Commerce II
Office Management III / Office Administration and Management III
Secretarial Duties II
Proficiency in computer applications.
