Job Description
Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental and non-governmental partners. The Administrative Assistant (Policy) will provide essential administrative support to the Policy and Liaison Unit (PLU) and the Regional Migrant Response Plan (MRP). The role involves a wide range of tasks from drafting official documentation and meeting minutes to coordinating with regional bodies and supporting project implementation.
Responsibilities
Provide administrative support to the Policy and Liaison Unit and the Regional Migrant Response Plan (MRP), including drafting meeting reports and minutes, routine correspondence, and official IOM documents related to operational and administrative matters.
Assist in the preparation and organization of meetings and events (conferences, workshops, training) in coordination with Regional Office and Country Office staff.
Support routine administrative tasks related to the implementation and monitoring of multi-year and multi-country EU GCM project activities.
Assist in collecting updates from Country Offices, organizing documentation, and tracking follow-up actions for project activities.
Organize regular RMRP meetings with IOM RMRP Focal Points and partners; document outcomes and follow up on actions.
Support interactions with regional bodies (e.g., COMESA, SADC, AC, IGAD), UN Country Networks, and government counterparts by scheduling meetings, preparing documents, and maintaining records.
Assist in preparing and formatting public information documents, presentations, website content, and reports for internal and external distribution.
Gather and organize information for agendas and concept notes; support the preparation of background materials for policy activities in the EHSA region.
Collect inputs from Country Offices and compile information into required formats for review by the SRPLO.
Support routine administrative tasks related to the Regional UN Network on Migration, including scheduling and documentation.
Assist with policy knowledge-sharing and regional knowledge management by organizing documents and maintaining the Unit’s SharePoint and other tools.
Qualifications and Experience
Education: Bachelor’s degree in Political Science, International Relations, Social Sciences, or a related field with at least two years of relevant experience; OR a High School diploma with at least four years of relevant experience.
Certifications: KCSE (Kenya Certificate of Secondary Education) or equivalent.
Experience: 2 to 4 years of professional experience in administration, secretarial support, or a similar role, preferably within an international organization or NGO context.
