The Tender Officer at Trident Insurance Company Limited (TICL) is responsible for leading the sourcing and processing of tender and Request for Quote (RFQ) documents. The role involves managing the end-to-end bidding process, including pricing strategies, and ensuring necessary follow-ups are conducted to obtain feedback on bid outcomes. The officer will also prepare presentations for the Tender Committee and supervise the preparation of all submission documents.
Responsibilities
- Source relevant tenders by gathering information on active notifications from various sources.
- Identify and list all tenders for which Trident Insurance Company (TICL) qualifies to bid.
- Prepare written proposals, Request for Quotes (RFQs), financial proposals, and pricing for tenders based on gathered intelligence.
- Ensure all bid proposal documentation is complete, accurate, and includes all relevant attachments.
- Identify and manage all pre-qualification processes and present them to management for review and approval.
- Coordinate the physical delivery of tender documents and manage costing requirements to meet strict deadlines.
- Utilize digital platforms such as IFMIS for tender downloads and submissions as required.
- Address and close out all technical, commercial, and contractual correspondence with suppliers efficiently.
- Adhere to tender deadlines and ensure submissions are delivered ahead of schedule.
- Contribute to cost and price calculations and coordinate tender reviews.
- Strive to achieve annual targeted amounts for medical and non-motor tenders.
Requirements
- Education: Bachelor’s Degree in a Business-related field and a Master’s degree in Business Management from a recognized institution.
- Experience: A minimum of five (5) years’ relevant experience, preferably within an insurance company.
- Professional Certifications: Professional qualification in insurance (AIIK, ACII, or Diploma – IIK) and accounting/finance credentials (CPA, CFA, ACCA, or ACA).
- Specialized Knowledge: A solid understanding of the Tender Management Process and knowledge of the East Africa regulatory regime for insurers.
- Skills: Excellent communication and negotiation skills (both written and spoken). Previous experience in Sales, Marketing, or Social Media Marketing is an added advantage.
- Professional Membership: Active membership in the Chartered Insurance Institute, Insurance Institute of Kenya, Institute of Certified Investments and Financial Analysts, or an equivalent professional body in good standing.
