Role Overview
Medecins Sans Frontieres (MSF) Eastern Africa is seeking a Staff Health Administration Officer to be based in Nairobi. This role is responsible for managing the administrative and logistical aspects of staff health, including medical evacuations (medevacs), referrals, and the management of guest house facilities for patients and caregivers. A unique and essential component of this position is providing French-English translation and interpretation to facilitate clear communication between French-speaking staff and healthcare providers. The officer ensures all health-related administration is conducted efficiently while maintaining strict patient confidentiality and upholding ethical standards.
Key Responsibilities
Administration
Manage travel and administration for medevac and referral cases in Nairobi in collaboration with the Travel team.
Provide essential information to arriving staff (visas/ETA, local orientation, security briefings).
Liaise with MSF Sections and Operational Centre (OC) travel focal points for guidance.
Prepare monthly reports and track all travel-related activities and data.
Coordinate patient transportation and review local accommodation requirements.
Process per diems and claim invoices with proper documentation.
Medical Insurance and Local Service Agreements
Support staff with MSH insurance pre-certification for hospital admissions.
Assist with insurance queries and prepare letters of undertaking for healthcare providers.
Review and approve service provider invoices for the Finance team.
Liaise with ambulance companies for events or individual support.
Guest House Management
Manage the guest apartment to ensure comfort for staff and caregivers (utilities, hygiene supplies, maintenance).
Coordinate with the Procurement Unit for timely stocking of supplies.
French Translation and Interpretation
Provide real-time interpretation during medical consultations and wellness programs.
Ensure employees understand medical risks and procedures before signing consent forms.
Translate HR and health-related documents between French and English.
Data Protection and Ethics
Maintain strict confidentiality of all medical and personal information.
Uphold ethical standards in patient care and document handling.
Qualifications
Language: Mandatory fluency in both written and spoken English and French.
Education: Bachelor’s degree in Administration, Business Studies, or equivalent, AND a Diploma or Bachelor’s degree in Nursing or Paramedic studies.
Experience: Previous experience in healthcare administration is highly desirable; NGO experience is an added advantage.
Technical Skills: Proficiency in MS Office (PowerPoint, Excel) and web navigation.
Competencies: Cross-cultural awareness, commitment to MSF principles, flexibility, and strong communication skills.
Conditions and Benefits
Contract: Open-ended, Full-time.
Salary: Annual salary of EUR 18,476 (HQ Grade 6) with annual increments.
