Job Description
The National Drought Management Authority (NDMA) is a public body established to coordinate all matters relating to drought risk management and establish mechanisms to end drought emergencies in Kenya. The Senior Administrative Officer will handle complex office administration functions, including client relations, correspondence management, and secretarial duties.
Responsibilities
General administration of the office and managing the front office to ensure orderliness.
Typing and formatting correspondences from drafts and manuscripts, ensuring they are error-free.
Preparing responses to routine correspondence and receiving all incoming and outgoing mail.
Maintaining an up-to-date office filing system and monitoring file movement.
Booking and handling official appointments and maintaining the office diary.
Keeping an inventory of all office equipment and making requisitions for office stationery.
Managing office protocol, etiquette, and maintaining a well-organized office layout and cleanliness.
Managing standing imprest issued for purposes of hospitality use in the office.
Conforming to NDMA procedures for handling official correspondence and file movements.
Training, guiding, and supervising secretarial personnel.
Adhering to the laid down office administrative personnel regulations and guidelines.
Requirements
Cumulative service period of six (6) years’ work experience, three (3) of which should have been in the position of Office Administrator Officer I or equivalent.
Bachelor’s Degree in Secretarial Studies, Business Office Management, or equivalent qualifications from a recognized institution.
Alternatively, a Bachelor’s Degree in Social Sciences plus a Diploma in Secretarial Studies or Business Education Single and Group Certificates (Stages I, II and III).
Technical certifications: Shorthand III (110 w.p.m.), Typewriting III (50 w.p.m.), and Computerized Document Processing III.
Certificate in Secretarial Management Course lasting not less than four (4) weeks from a recognized institution.
Proficiency in computer application skills.
Fulfillment of the requirements of Chapter Six of the Constitution of Kenya 2010.
