Role Overview
The National Cancer Institute of Kenya (NCI-Kenya) is seeking a Records Management Officer to manage the lifecycle of Agency data. This role is responsible for the efficient creation, capture, processing, storage, maintenance, retrieval, and disposal of records in alignment with established data standards. The goal is to ensure that information is readily available to users and utilized effectively to support the Institute's mandate in cancer prevention and control.
Key Responsibilities
Records Manual Implementation: Execute and maintain records management manuals to ensure standardized procedures.
Mail & Information Management: Oversee the receipt, filing, retrieval, and dispatch of all physical and digital mail and records.
Coding and Indexing: Categorize and index files according to stipulated information management protocols.
Storage & Maintenance: Regularly update and maintain the storage systems for the Institute’s records.
Tracking: Monitor the movement of files and documents within the organization to prevent loss and ensure accountability.
Retention & Disposal: Appraise institutional records to determine retention periods and manage the secure disposal of obsolete information.
Classification Systems: Implement and adhere to records management classification systems.
Risk Management: Proactively identify and mitigate potential risks related to records management and data integrity.
General Duties: Perform any other relevant duties assigned by the department.
Qualifications and Requirements
Experience: A minimum of three (3) years’ relevant work experience as a Records Management Officer II or in a comparable position.
Education: Bachelor’s Degree in Records Management, Information Science Management, or any of the Social Sciences (or equivalent qualification) from a recognized institution.
Knowledge: Understanding of records management classification systems and data standards.
