Job Description
Emerge Egress Consulting (EEC) is seeking an astute and competent Procurement Officer for their client. The primary objective of the role is to manage procurement activities, internal control systems, and management reporting while maintaining cost-efficiency and high quality. The successful candidate will be responsible for maintaining positive supplier relations, evaluating supply options, approving purchases, and maintaining accurate records.
Core Duties and Responsibilities
Planning & Budgeting: Assist in preparing annual budgets and procurement plans.
Contract Management: Assist in contracting processes from creation to closure, maintain and update the suppliers register, and ensure fairness and transparency in the tender process.
Quality Control: Receive, inspect, and accept/reject goods in coordination with user departments as per specifications, quality, quantity, and price on Local Purchase Orders.
Compliance: Ensure compliance with procurement regulations and company policies.
Supplier Management: Monitor supplier performance, review and implement new supply chain practices, and develop supply options and contingency plans to avoid stockouts. Meet with suppliers to discuss performance metrics and production forecasts.
Sourcing: Source organization requirements competitively and develop cost forecasts. Monitor market trends, prices, and quality factors.
Cost Efficiency: Ensure low-cost spending while maintaining specifications and quality.
Documentation: Maintain proper filing of procurement documents and approvals.
Asset Disposal: Assist in the disposal of obsolete assets through methods such as public auction, public tender, and trade-ins.
Systems Management: Develop and implement supply chain procedures and systems for efficiency. Conduct supplier evaluation, tender evaluation, and vendor database management.
Logistics: Monitor, track, and expedite all procurement activities and delivery status of goods/services. Maintain an effective store management system where all expenses are monitored and charged to the appropriate department.
Order Processing: Issue RFQs, evaluate purchase requirements, and process/dispatch Local Purchase Orders. Follow up on issued and overstayed orders and deliveries.
Negotiation: Conduct all commercial negotiations and maintain cordial supplier relationships.
Job Specifications and Qualifications
Diploma in Mechanical Engineering or CIPS and/or Accounts (CPA1).
Knowledge in statistics will be an added advantage.
At least 2 years’ experience in factory spares and machinery parts.
Experience in procurement duties such as ordering or general experience of stores/warehouse.
Demonstrated outstanding professional competence in procurement work.
Knowledge of procurement procedures.
Proficiency in MS Office Suite.
