Job Description
At TakaTaka Solutions, we collect waste and recycle 95% of it, achieving one of the highest recycling rates globally. The Procurement Coordinator is responsible for overseeing and coordinating the company’s end-to-end procurement and supply chain activities. The role ensures efficient sourcing, cost optimization, supplier performance management, compliance with procurement policies, and timely availability of goods and services to support operations. The position also ensures accuracy of procurement data, proper documentation, audit readiness, and continuous improvement of procurement processes.
Key Responsibilities
Sourcing & Selection: Review and validate purchase requisitions; oversee sourcing processes including RFQs, supplier engagement, and quotation analysis; and evaluate suppliers based on price, quality, and compliance.
Order Management: Prepare and issue LPOs in line with approval matrices and manage the full procurement cycle from requisition to delivery to avoid operational delays.
Delivery & Inventory Coordination: Monitor deliveries, address shortages or damages, and coordinate with Stores and user departments to confirm receipt of goods (GRNs/delivery notes).
Supplier Management: Build and maintain strong supplier relationships, resolve procurement-related issues, and manage supplier performance (timelines, pricing, quality).
Documentation & Finance Support: Maintain accurate records for all transactions; coordinate with Finance for invoice matching (2-way/3-way matching); and support audit readiness.
Budgeting & Reporting: Monitor procurement budgets, track spend, identify cost-saving opportunities, and generate weekly/monthly reports on status, performance, and trends.
Risk & Compliance: Identify and mitigate procurement risks (supply delays, price fluctuations) and ensure strict adherence to company policies and workflows.
Process Improvement: Drive efficiency in procurement processes, reduce lead times, and support long-term procurement planning.
Requirements
Education & Professional Background
A Degree in Procurement, Supply Chain Management, Business, or a related field.
Membership to KISM (or in progress) is considered an added advantage.
Experience
3–5 years of professional experience in procurement and supply chain management.
Demonstrated experience handling the full procurement cycle (PR → RFQ → LPO → Delivery → Payment support).
Proven track record in supplier management, cost control, and procurement reporting.
Supervisory or coordination experience is an added advantage.
Knowledge & Skills
Strong understanding of market dynamics, pricing trends, and logistics processes.
Expertise in operational procurement (fuel, PPE, spares, consumables).
High level of negotiation and stakeholder management skills.
Advanced proficiency in Excel or Google Sheets.
High attention to detail and strong analytical skills.
Knowledge of procurement ethics, compliance, and audit requirements.
Ability to prioritize and perform in a fast-paced environment.
