The Personal Assistant to the CEO will serve as a critical support pillar, managing the executive's day-to-day operations, facilitating communications, and ensuring the office runs efficiently. The ideal candidate will have experience in high-pressure corporate environments, particularly within the financial or insurance sectors, and possess the discretion required to handle sensitive information.
Main Responsibilities
- Diary and Schedule Management: Proactively manage the CEO's diary, schedule, and calendar to ensure optimal time management.
- Communication Interface: Act as the primary point of contact and communication interface for the CEO, filtering and prioritizing inquiries.
- Meeting Coordination: Organize and coordinate board, management, and executive meetings, including preparation of agendas and minutes.
- Logistics and Events: Manage all travel arrangements, logistics, and the coordination of high-profile company events.
- Research and Reporting: Provide comprehensive research, detailed reporting, and briefing support to prepare the CEO for various engagements.
- Confidentiality: Maintain the highest levels of confidentiality and manage sensitive corporate information with discretion.
- Project Support: Assist with special projects and various company-wide initiatives as directed.
- Office Administration: Oversee the general administration of the CEO's office to ensure seamless operations.
- Stakeholder Relations: Build and maintain professional relationships with internal and external stakeholders.
- Governance and Compliance: Support the CEO in meeting governance and regulatory compliance requirements.
Qualifications and Experience
- Education: Bachelor's degree in Business Administration, Communications, Secretarial Studies, or a related field.
- Experience: A minimum of 5 years of experience in administrative roles, with at least 3 years specifically supporting a C-suite Executive.
- Sector Knowledge: Experience within the financial services or insurance sector is strongly preferred.
- Certifications: Professional certification in executive assistance, business administration, or secretarial practice is highly desirable.
- Governance: Prior exposure to board governance, regulatory environments, and corporate secretarial functions is a significant advantage.
