Job Description
The Payroll Timekeeping Specialist is responsible for the management and processing of employee timekeeping records. This role ensures the accuracy of labor data and compliance with company policies, contractual obligations, and relevant labor regulations. The specialist serves as the primary point of contact for payroll-related inquiries and maintains the integrity of the payroll system through diligent data entry, reconciliation, and auditing.
Key Responsibilities
Timekeeping Management: Process employee timekeeping records to ensure accuracy and adherence to company policies and contractual requirements.
Data Entry & Reconciliation: Input and maintain employee work hours in the payroll system, ensuring timely and accurate processing.
Verification: Review timesheets, logs, and payroll data to identify and resolve discrepancies.
Compliance: Ensure all activities align with federal, local, and international labor laws regarding work hours and overtime.
Payroll Processing: Prepare bi-weekly, semi-monthly, or monthly payroll, including calculations for overtime, holidays, and leave.
Reporting: Generate standardized and ad-hoc reports for management and client reviews.
Employee Support: Act as the main contact for inquiries regarding payroll and timekeeping, providing prompt resolutions.
Auditing: Conduct periodic audits of records and support internal/external audits to maintain compliance.
Confidentiality: Adhere to strict privacy policies regarding employee and payroll data.
Training: Provide support and training to staff on timekeeping systems and compliance procedures.
System Improvement: Assist in the implementation of new tools and policies to enhance data efficiency.
Qualifications and Requirements
Experience: 1-3 years of relevant experience in payroll, time management, or administrative support.
Education: Minimum of a High School Diploma (KCSE) or equivalent. Knowledge in Finance, Accounting, and Assurance Services is preferred.
Technical Skills: Proficiency in timekeeping/payroll software and Microsoft Office Suite (especially Excel).
Regulatory Knowledge: Strong understanding of payroll procedures and labor laws.
Communication: Excellent verbal and written English communication skills.
Travel Readiness: Must possess a valid passport (valid for 1+ year) and be able to travel internationally.
Clearance: Ability to pass contract medical requirements and maintain necessary facility credentials or authorizations.
