Job Description
Urgent Action Fund-Africa (UAF-Africa) is seeking a qualified Office Assistant to join its Nairobi office support team. Reporting directly to the Finance & Operations Assistant, the Office Assistant will play a vital role in maintaining the office environment and supporting staff and visitors to ensure smooth day-to-day operations.
Responsibilities and Duties
Office Maintenance: Clean the offices, boardrooms, and communal spaces. Ensure that all furniture, fittings, and office equipment are kept clean and in good order.
Hospitality: Prepare office beverages and organize snacks and lunches for staff, meetings, and visitors as required.
Kitchen & Supplies: Maintain and clean all kitchen equipment. Manage and restock adequate sanitary supplies, including tissue paper, sanitizers, detergents, and towels.
Inventory & Logistics: Maintain an up-to-date inventory of office equipment and supplies. Assist in the disposal, receipt, and movement of office items. Ensure office vehicles are kept clean.
Administrative Support: Coordinate with the landlord’s maintenance team for repairs and ensure washroom cleanliness. Organize quarterly deep cleaning and fumigation services. Assist with document filing and retrieval during audits.
Financial & Communication: Ensure monthly payment of utility bills (telephone, electricity). Answer telephone calls and attend to visitors.
Qualifications and Experience
Education: High school education certificate.
Experience: At least three to five years of progressively responsible work experience in a similar office support role.
Computer Skills: Basic computer literacy.
Communication: Proficiency in both spoken and written English.
Skills and Competencies
Excellent organizational skills and the ability to multitask effectively.
Strong interpersonal skills and a commitment to teamwork.
High work ethic and the ability to work under pressure.
Flexibility and willingness to travel for work-related trips.
An understanding of feminist gender issues is required.
