Job Description
The Embassy of Sweden in Nairobi represents Sweden in Kenya and also to the United Nations Environment Programme (UNEP) and the United Nations Human Settlements Programme (UN-HABITAT). We are seeking a highly organized and proactive Administrator to provide comprehensive support to the Head of Cooperation and the wider team in a dynamic, high-tempo environment.
Role Overview
The Administrator will be responsible for providing administrative support to the Head of Cooperation, managing logistics, and ensuring effective internal and external communication. This role requires flexibility, attention to detail, and the ability to work collaboratively across various sections of the Embassy.
Key Responsibilities
Administrative Support: Provide support to the Head of Cooperation, including scheduling, managing correspondence, and document preparation.
Calendar & Meeting Management: Manage the Head of Cooperation’s calendar, meeting agendas, and planning workshops or events with a focus on precision and time management.
Logistics: Handle travel arrangements and logistics for the team and assist with the Section's DHL dispatches.
Archives: Maintain the Embassy's archive in an orderly and systematic manner.
Communication: Ensure professional communication by editing and proofreading materials. Manage social media presence (X, LinkedIn, Facebook, Instagram) for the Head of Cooperation and the team.
Coordination: Monitor and follow up on tasks to ensure timelines are met and cooperate with other administrative functions within the Embassy.
Operational Efficiency: Perform other duties as assigned by the Head of Cooperation to ensure effective operations.
Skills, Qualifications, and Experience
Education: University degree or diploma in administration or a related field.
Experience: A minimum of three (3) years of experience in administrative work, ideally as an administrator, secretary, or personal assistant in a high-paced environment.
Technical Proficiency: Expertise in MS Office (Word, Outlook, Excel) and various social media platforms (Facebook, Instagram, LinkedIn, X).
Language: Fluent in written and spoken English.
Soft Skills: Strong organizational and time management skills, attention to detail, proactive working methods, and excellent interpersonal skills for networking.
Attributes: Punctual, responsible, and capable of adjusting quickly to change.
