Role Overview
The Office Assistant will be responsible for providing comprehensive administrative and clerical support services, ensuring the smooth operation of the project office while maintaining a clean and professional environment. This is a full-time position based in Nairobi, where the successful candidate will work closely with the Project Administrator to facilitate logistical support for meetings, workshops, training sessions, and procurement activities required for daily operations.
Duties and Responsibilities
Administrative Support: Provide general administrative and clerical support to the project team.
Communication: Efficiently manage incoming telephone calls and emails.
Inventory Management: Handle office supplies and maintain accurate inventory records.
Office Maintenance: Ensure the overall cleanliness and orderliness of the office space.
Reception: Provide a professional and warm reception for all project visitors.
Confidentiality: Maintain the highest level of confidentiality regarding sensitive project information and documentation.
Job Specifications
Education: A Diploma in Business Administration, Office Management, Customer Service, or an equivalent qualification from a recognized institution.
Experience: A minimum of two (2) years of relevant work experience, specifically within a donor-funded research project environment.
Technical Proficiency: Demonstrated proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
Skills: Strong organizational abilities and excellent communication skills.
Professional Attributes: Must exhibit a high level of integrity and professionalism.
