About the Role
The Project Logistician will play a critical role in ensuring the smooth planning and execution of all logistics, procurement, and operational activities under the WINGS project—particularly within the ethical and sustainable fashion component. This role will directly support training delivery, fashion lab operations, and multi-city coordination to enable an efficient and impactful learning and production environment. We are seeking someone who is equally good at the administrative side of logistics as well as being practical and hands-on, organizing room layouts, making sure technical devices work, and ensuring that people from a variety of backgrounds are able to feel comfortable in our training spaces. The ability to operate and assemble an industrial sewing machine, while not essential, would be an added advantage.
Key Responsibilities
Logistics & Operations Coordination
Plan and coordinate logistics for project activities across Nairobi, Mombasa, and Kisumu.
Organize logistics for training sessions, workshops, and residencies, including venues, materials, equipment, and participant coordination.
Support participant logistics, including communication, scheduling, and coordination for training and lab access.
Ensure timely availability and distribution of training materials and equipment, including fashion lab tools and supplies to fully support the training program both online and in-person.
Fashion Lab Technical Operations Support
Support the setup, organization, and day-to-day operations of the Fashion Innovation Lab.
Ensure availability and proper organization of sewing machines, cutting equipment, and workshop tools.
Coordinate routine servicing, maintenance, and repair of equipment with external technicians.
Manage storage, handling, and tracking of fabrics, trims, and production materials.
Support trainers and participants during practical sessions by ensuring all tools and materials are prepared and functional.
Promote safe use of equipment and adherence to basic workshop safety standards.
Procurement & Vendor Management
Manage procurement processes in line with AICS, CISP, and KikoRomeo guidelines.
Coordinate sourcing and contracting of service providers (venues, trainers, catering, accommodation, transport).
Prepare and maintain procurement documentation and vendor records.
Support contract management and service delivery follow-up.
Inventory & Asset Management
Maintain an accurate and up-to-date inventory and asset register for all project equipment, including fashion lab tools.
Track movement, allocation, and condition of assets across locations.
Work with the lab technician to ensure proper storage, maintenance, and accountability of equipment.
Coordinate participant logistics including communication, scheduling, and training access.
Support onboarding and coordination of designers, artisans, and trainees.
Ensure smooth delivery of training sessions and lab access to program participants.
Coordinate learner travel logistics including transport arrangements, reimbursements, and scheduling for training sessions and residencies.
Ensure timely communication of travel plans, directions, and reporting details to participants.
Support equitable access by organizing transport solutions that enable participation from diverse and vulnerable groups.
Track attendance in relation to travel coordination and address any logistical barriers affecting participation.
Travel & Field Coordination
Support field missions and staff movement planning across project locations.
Compliance & Safeguarding
Ensure all logistics operations align with organizational code of conduct and donor regulations.
Support implementation of safeguarding policies, including PSEA (Protection against Sexual Exploitation and Abuse).
Maintain confidentiality and compliance with data protection standards.
Reporting & Documentation
Prepare and submit weekly logistics updates to the Project Manager outlining readiness for upcoming trainings, workshops, and Fashion Lab activities.
Develop and submit monthly logistics and operations reports summarizing activities, learner logistics, and procurement status.
Maintain accurate procurement and logistics documentation in line with donor (AICS) requirements.
Support the Lab technician in preparing and regularly updating inventory and asset registers.
Work closely with the Project Accountant to ensure proper documentation and reconciliation of logistics and procurement-related costs.
Requirements
Education
A university degree or diploma in Logistics, Supply Chain Management, IT, Procurement, Business Administration, or a related field.
Professional Experience
Minimum 2–4 years of experience in logistics, procurement, or operations, preferably in training projects.
Experience organizing logistics for training, workshops, or events.
Experience in fixing things that don’t work as planned (practical troubleshooting).
Experience managing procurement processes and vendor coordination.
Familiarity with inventory and asset management systems.
Experience in donor-funded projects is an added advantage.
Experience with ERP systems (e.g., Odoo) is desirable.
Desirable Skills
Experience working in the fashion, textile, or creative production sector.
Experience working in multi-location projects (e.g., Nairobi, Mombasa, Kisumu).
Knowledge of fashion production tools, equipment, or creative sector logistics.
Knowledge of fashion machinery and ability to use a sewing machine.
Strong vendor and stakeholder management skills.
