About the Role
AGL (Africa Global Logistics) is seeking an IFF Operations Supervisor for Sea Exports. Reporting to the Senior Supervisor - Sea Exports, you will be responsible for managing the operational team, maintaining client relationships, and ensuring efficient file processing and financial compliance within the freight forwarding unit.
Key Responsibilities
Team Management
Inform the team of the entity strategy and evolutions, communicating required alignments.
Set goals regarding quality of service.
Assess team performance against set Key Performance Indicators (KPIs) and develop/maintain team competencies.
Oversee the induction of new modules concerning TMS & DMP.
Ensure team productivity and expertise.
Work closely with Customer Operation Support to organize and plan IFFO activities.
Client Relationship Management
Alert clients regarding operational issues (potential or real) escalated by IFF operators.
Follow up on consignments and ensure clients receive real-time status updates.
Operational Monitoring
Ensure Standard Operating Procedures (SOPs) are applied at every business process step.
Monitor all documentation for compliance with laws and regulations.
Regularly update tariffs for existing clients.
Allocate files to operators and validate opened files before processing begins (escalating credit issues to management).
Track file processing progress to ensure physical documentation and electronic updates are completed without delay.
Assist staff with operational issues.
Ensure monthly archiving of files (physical and electronic).
Implement actions to improve processing quality (processes, resources, equipment).
Control the quality of file formalization and documentation.
Financial Oversight
Ensure operations respect gross margin and anticipated disbursements from quotations.
Select the most efficient means for operations based on client-validated quotations.
Validate supplier invoice allocations and amounts.
Validate client invoices and attachments aligned with operator submissions.
Check disbursements for each file.
Liaise with port customs declaration teams to ensure timely release and handing over of export shipments.
Coordinate with the credit control department for outstanding payment collections.
Control IFF unit costs in line with the approved budget.
Inform management of significant operational issues impacting quality.
Qualifications and Experience
Diploma in Clearing and Forwarding or a related field.
East Africa Freight Forwarding Practicing Certificate (EAFFPC) is an added advantage.
Knowledge of Single Customs Territory.
Minimum of 4 years of experience in sea export freight forwarding/logistics.
Experience in a supervisory or team lead role is an added advantage.
