About the Role
PATH Kenya, through the Nuru Ya Mtoto Project, is seeking a Procurement Officer to oversee the project’s strategic and day-to-day supply chain processes. Reporting to the Finance and Administration Manager, the successful candidate will ensure that goods and services are procured efficiently and effectively. The role involves identifying, designing, and implementing innovative approaches to maximize value within the project's supply chain management cycle.
Key Responsibilities
Carry out procurement processes in line with PATH policies, donor regulations (USG), and local laws.
Prepare formal invitations for bids and requests for quotations (RFQs), including special terms, conditions, and technical criteria.
Routinely sensitize project staff on procurement processes.
Participate in procurement review committee meetings and record minutes.
Track orders and confirm system lead times, delivery dates, and costs.
Conduct routine vendor circularization and accounts reconciliations.
Prepare weekly procurement reports and other ad hoc management reports.
Assist in developing, monitoring, and reviewing project procurement plans.
Ensure all vendors are registered and undergo due diligence, including Bridger checks.
Identify and implement actions to achieve efficiencies and value maximization.
Advise the procurement review committee on emerging industry issues and trends.
Ensure invoices are properly supported before payment consideration.
Facilitate positive mutual business relationships with suppliers and vendors.
Maintain accurate and complete records for all procurement transactions.
Requirements and Qualifications
Bachelor’s degree in any business-related field with a specialization/bias in procurement.
Up-to-date KISM (Kenya Institute of Supplies Management) membership.
A minimum of 6 years’ progressive relevant experience, preferably in the NGO sector.
In-depth knowledge of United States Government (USG) grant and procurement regulations.
Hands-on experience with ERPs featuring embedded procurement modules.
Master’s degree in Business Administration or equivalent and CIPS qualification are an added advantage.
Outstanding communication, interpersonal, and problem-solving skills.
Detail-oriented with high accuracy and strong analytical skills.
Ability to work flexibly and collaboratively as part of a team.
