The International Centre of Insect Physiology and Ecology (icipe) is a pan-African Centre of excellence in research for development and capacity building in insect science and its applications.
Under the guidance of the supervisor, the Human Resources Assistant will support the delivery and efficient operations of the Human Resource Unit by performing administrative duties across recruitment, onboarding, records management, and protocol compliance.
Key Responsibilities
Recruitment, Onboarding & Exit Management
- Screening and longlisting candidate applications.
- Preparing interview files and coordinating logistics.
- Taking interview minutes during recruitment interviews.
- Coordinating the onboarding process for new staff and ensuring they have necessary resources for settling in.
- Organizing induction schedules and logistics (venue, materials, IT access - initiating staff email accounts and JIRA access).
- Preparing new staff profiles for internal announcements.
- Dispatching staff contracts.
- Initiating exits for departing staff in the ERP and collating exit interview data.
- Filing discharge vouchers and closing personnel files.
- Reviewing employee clearance and updating the exit tracker matrix.
- Issuing certificates of service.
Contract & Employee Records Management
- Collecting, updating, and organizing digital and physical employee files.
- Assisting in preparing consultancy contracts and hosted organization contracts.
- Collating and submitting payroll input documents.
- Capturing and maintaining employee data in the HR system.
- Maintaining accurate and confidential personnel records.
- Assisting during HR audits and reviews.
Immigration, Protocol & Compliance
- Preparing work permit support letters for non-Kenyan staff and hosted institutions in liaison with the Protocol Officer.
- Updating staff details in the Ministry of Foreign Affairs (MoFA) portal.
HR Administrative Support
- Processing UN subscriptions for IRS staff and eligible staff within hosted institutions.
- Preparing general HR correspondence letters.
- Preparing vendor forms for HR-related service providers.
- Preparation and issuance of staff badges.
Requirements & Qualifications
- Diploma in Human Resources Management or its equivalent.
- At least one year’s experience in an HR setup.
- Proficiency in Microsoft Office suite.
- Strong organizational skills with attention to accuracy and thoroughness.
- Ability to prioritize tasks and use time efficiently.
