Trócaire was set up in 1973 as a charity to express the concern of the Irish Catholic Church for the suffering of people living in the world’s poorest regions. The Grants & Compliance Officer is responsible for managing the full grant lifecycle, ensuring that all programmatic and financial activities comply with both internal policies and external donor regulations. The role coordinates across Programme, Finance, and MEAL teams to monitor progress, manage risks, and facilitate successful audits.
Key Responsibilities
Grant Management
Coordinate the full grant lifecycle from award set-up to close-out, ensuring compliance with donor regulations (e.g., ECHO, USAID, FCDO, UNICEF) and Trócaire policies.
Facilitate grant kick-off, mid-term review, and close-out meetings, documenting key decisions, risks, and action points while tracking follow-up actions.
Coordinate regular check-ins with Programme, Finance, and MEAL colleagues to monitor programmatic and financial progress and agree on corrective actions.
Work with Programme and MEAL teams to verify data accuracy and strengthen evidence for donor reports, grant reviews, and learning.
Support preparedness for donor spot-checks, monitoring visits, and audits, including coordinating documentation and briefing relevant teams.
Maintain a portfolio-level grants risk and issues log (compliance, reporting, audit, partner performance), updating it monthly and escalating high-risk items.
Capture lessons learned and good practices from audits and report reviews to support continuous improvement of tools and systems.
Business Development Support
Provide administrative support to business development by maintaining the funding pipeline and systems (e.g., Salesforce), ensuring accurate record-keeping of opportunities and submission records.
Coordinate routine donor due diligence and registration updates (portals, compliance documentation, and organizational capacity statements).
Capacity Building
Provide orientation and refresher sessions to programme and partner staff on grant management tools, donor compliance, and Salesforce usage.
Support the development and update of SOPs and guidance materials to standardize grant management practices.
Act as an accessible technical resource for colleagues and partners regarding grant management inquiries.
Requirements
Bachelor's Degree in Development Studies, Business Administration, International Relations, or a related field.
Minimum of 3 years professional experience in grant management, preferably within an International NGO (INGO) context.
Demonstrated experience managing grants from institutional donors such as ECHO, USAID, FCDO, and UNICEF.
Exceptional organizational skills, high attention to detail, and the ability to manage multiple tasks simultaneously.
Strong Excel skills and numeracy for managing compliance trackers and financial monitoring.
Excellent written and oral communication skills in English.
Strong interpersonal skills with the ability to engage with diverse teams and external stakeholders.
Proficiency in standard software applications and Salesforce or other grant management systems.
