Information about the Role
The United Nations Entity for Gender Equality and the Empowerment of Women (UN Women) is seeking a Finance Analyst (N-PPSA 8) to join the Regional Office in Nairobi, Kenya. This role involves coordinating financial planning, overseeing expenditure tracking, and ensuring quality assurance for financial transactions in accordance with UN Women's rules and regulations. The incumbent will be responsible for validating financial accuracy, managing internal reporting, overseeing programme partners' financial activities, and supporting audit processes.
Responsibilities and Duties
1. Financial Transaction Management and Quality Assurance
Review and verify financial transactions such as vouchers, advances, reimbursements, and travel claims for compliance.
Validate the accuracy and completeness of supporting documentation before transaction certification.
Resolve financial transaction issues, including budget check failures and matching exceptions.
Monitor expenditures and delivery rates across projects and funding sources.
Identify financial risks and variances, recommending corrective actions to enhance compliance.
2. Financial Reporting and Closure
Consolidate internal financial reports and dashboards to inform management decisions.
Coordinate month-end, quarter-end, and year-end closure processes.
Ensure timely submission of financial data to HQ Finance and the Virtual Global Service Centre (VGSC).
3. Programme Partner Oversight
Track and reconcile programme partner advances, expenditures, and liquidations.
Conduct quality reviews of partner financial reports for eligibility and budget alignment.
Address high-risk or aged advances and provide technical guidance to partners on financial reporting.
4. Audit Coordination and Compliance
Coordinate pre-audit preparations and ensure the organization of financial documentation.
Respond to audit findings and monitor the implementation of audit recommendations.
Maintain updated financial records and filing systems to ensure audit readiness.
5. Knowledge Management and Capacity Building
Recommend enhancements to Quantum financial modules to improve regional business practices.
Identify opportunities for improving finance workflows and controls.
Codify lessons learned and best practices to strengthen the capacity of personnel.
Contribute to the design of learning tools and innovations in financial operations.
Requirements
Education: A Master’s degree in Finance, Accounting, Business Administration, or a related field. Alternatively, a first-level university degree with two additional years of qualifying experience may be accepted.
Certification: Project/programme management certification (e.g., PMP, PRINCE2, or MSP) is an added advantage.
Experience:
At least 2 years of experience in finance or accounting within a large international organization (UN system experience is preferred).
Proven experience using an ERP financial system (e.g., Oracle Cloud or Quantum).
Experience providing financial and budget support to projects.
Experience building the capacity of civil society and government partners.
Experience working in a regional or multi-country context is desirable.
Skills: Proficiency in MS Office (Word, Excel) and web-based management systems is required.
