Job Description
Reporting to the Director Corporate Services, the Deputy Director-Administration will be responsible for overseeing administrative functions, facility maintenance, and staff welfare within the organization. The role involves ensuring a suitable working environment, managing office equipment and assets, and facilitating staff performance management.
Key Responsibilities
Facilitate maintenance issues by conducting physical surveys and defect reports, recommending services to maintain suitable working conditions.
Coordinate staff welfare by providing suitable tools and conditions of work in line with acceptable standard practices to enhance output.
Supervise staff through clear duty allocation, monitoring adherence, and appraising performance justifiably.
Coordinate the staff performance appraisal process within the department.
Coordinate the identification of office equipment and furniture requirements.
Ensure timely responses to routine correspondence on administrative matters to maintain up-to-date reporting.
Oversee the general maintenance of office equipment and the building.
Generate administrative reports concerning repairs and maintenance.
Facilitate the renewal of motor vehicle and property insurance policies.
Person Specifications
For appointment to this grade, an officer must have:
A cumulative service period of fifteen (15) years relevant work experience, three (3) of which should have been in the grade of Assistant Director, Administration or in a comparable position.
Bachelor’s degree in Public Administration, Business Administration, Political Science/Government, Anthropology, Social Sciences, or any other relevant qualification from a recognized institution.
Master’s degree in Public Administration, Business Administration, Political Science/Government, Anthropology, Social Sciences, or any other relevant qualification from a recognized institution.
Membership to a relevant professional body and in good standing where applicable.
Leadership Course Certificate lasting not less than four (4) weeks from a recognized institution.
A valid practicing certificate where applicable.
Proficiency in computer applications.
Shown merit and ability as reflected in work performance and results.
