Job Description
The Assistant Office Administrator III is responsible for supporting office administrative services. This includes managing and organizing office records, providing typing services, attending to phone calls, and ensuring the smooth running of all institute offices.
Key Responsibilities
Taking oral dictation and using e-office systems to research and process data.
Operating various office equipment and attending to visitors or clients.
Handling incoming and outgoing telephone calls.
Booking rooms and coordinating conference facilities.
Addressing customer inquiries and managing complaints efficiently.
Ensuring the security of office records, equipment, and documents, including classified materials.
Maintaining the integrity and confidentiality of office data.
Managing and updating an up-to-date filing system within the office.
Preparing responses to routine correspondence and managing office protocol and etiquette.
Managing petty cash.
Performing any other duties as may be assigned from time to time.
Qualifications and Requirements
A Diploma in Secretarial Studies or an equivalent qualification from a recognized institution.
Demonstrated proficiency in computer applications.
