Job Description
The National Drought Management Authority (NDMA) is seeking to recruit two (2) Administrative Officers III. The successful candidates will be responsible for providing essential administrative support services such as official transport, security services, vehicle servicing and maintenance, coordination of cleaning services, messenger and registries, and supervision of support staff. This role involves ensuring timely and efficient communication and co-ordination within the Authority, monitoring service delivery, and handling routine operational issues within the department.
Key Responsibilities
Assist in developing policies and guidelines for administrative purposes.
Oversee the maintenance and servicing of motor vehicles and office buildings.
Coordinate office allocation and transport services, including vehicle allocation and driver supervision.
Coordinate registry services.
Ensure all vehicles have valid certifications (e.g., certificates of road worthiness/inspection) and adhere to national transport safety standards.
Assist in daily scheduling, allocation, and tracking of vehicles and drivers for official duties.
Prepare maintenance/repair schedules for vehicles, motorcycles, and generators to ensure they are roadworthy.
Supervise drivers and ensure they adhere to safety rules, procedures, and ethical conduct.
Monitor and manage fuel consumption, fuel supplies, and spare parts inventory.
Maintain accurate records, including vehicle logs, registration, insurance, daily inspection reports, and accident reports.
Produce monthly reports on vehicle usage and operational efficiency.
Requirements and Qualifications
Diploma in Management, Administration, or a related field from a recognized institution.
Proficiency in computer applications.
Must fulfill the requirements of Chapter Six of the Constitution of Kenya.
