Role Overview
Africa Nazarene University (ANU) is seeking an Administrative Assistant for Examinations. The successful candidate will be responsible for supporting the examination process by updating student records, assisting in the arrangement of examination logistics, and overseeing duplication. This role is pivotal in maintaining the integrity and efficiency of the university's academic assessment and graduation systems.
Key Duties and Responsibilities
Grading and Records: Support the process of preparing and publishing trimester grade-point averages (GPA), academic standing, and other student performance metrics, including identifying high achievers. Maintain an updated student grade database.
Faculty Liaison: Collect and organize information from faculty members regarding the marking and grading of student examinations. Process information for the timely posting of grades and respond to grade-related inquiries from students.
Examination Timetabling: Communicate approved examination timetables to students and faculty, and update changes to examination dates as necessary.
Quality Assurance: Assist in the pre-moderation and quality review process before confirming exam readiness, and collect/organize necessary amendments.
Examination Logistics: Coordinate the coordination, secure production, and packaging of examination papers based on student enrollment. Receive exam question papers, marking schemes, and course outlines.
Infrastructure Management: Arrange necessary infrastructure and logistics for conducting exams, including securing venues and exam monitors.
Script Security: Maintain secure storage of exam scripts and identify those ready for disposal according to university policy.
Graduation Support: Verify lists of qualifying and non-qualifying graduation candidates with respective schools. Monitor program requirements to identify graduating candidates.
Certification and Ceremony: Coordinate the production of diplomas and degrees. Prepare graduation guidelines, process application forms, and facilitate the acquisition, issuance, and return of academic attire.
Transcripts: Receive and process student requests for transcripts in a timely manner.
Requirements and Qualifications
A Bachelor’s degree in a relevant field from a recognized institution.
A minimum of two (2) years of relevant work experience, preferably in an academic setting.
Ability to maintain confidentiality and handle secure documents.
Strong organizational skills and attention to detail.
