Job Description
The Senior Office Administrator at the Commission for University Education (CUE) is responsible for providing high-level secretarial and administrative support, ensuring the efficient operation of office functions and supervising junior administrative staff. This role involves managing complex documentation, facilitating communication, and coordinating logistical arrangements for the Commission's activities.
Responsibilities
Record dictation in shorthand and transcribe it accurately into typewritten form.
Draft and type routine correspondence, including letters and internal memos.
Ensure the security and proper maintenance of office equipment, documents, and records.
Operate office equipment and manage the request for office stationery and repairs.
Attend to visitors and clients, managing office protocol and professional etiquette.
Establish and maintain effective filing systems, including cross-referencing correspondence.
Manage telephone calls, executive diaries, and scheduled appointments.
Organize meetings, prepare necessary discussion materials, and act as a rapporteur to write reports.
Supervise office cleanliness and manage office petty cash operations.
Provide overall supervision and mentorship to other Office Administrator staff.
Coordinate all travel arrangements and maintain registers for incoming and outgoing mail/files.
Requirements for Appointment
To be considered for this position, candidates must meet one of the following educational criteria:
A Bachelor’s degree in Secretarial Studies or an equivalent qualification from a recognized institution; OR
A Bachelor’s degree in Social Sciences plus a Diploma in Secretarial Studies; OR
A Bachelor’s degree in Social Sciences plus Business Education Single and Group Certificates (BES & GC) Stages I, II, and III from KNEC in: Typewriting III (min 50 w.p.m.), Shorthand III (120 w.p.m), Business English III/Communications II, Office Practice II, Secretarial Duties II, Commerce II, and Office Management III.
Additional qualifications include:
A minimum of four (4) years of relevant work experience.
Professional qualification and membership in a relevant professional body.
Completion of a supervisory course lasting at least two (2) weeks from a recognized institution.
Proficiency in computer applications.
Must fulfill the requirements of Chapter Six of the Constitution of Kenya.
Chapter Six Compliance
Successful candidates must provide the following documents before the formal offer of employment:
Valid Certificate of Good Conduct from the DCI.
Clearance from the Ethics and Anti-Corruption Commission (EACC).
Tax Compliance Certificate from KRA.
Clearance Certificate from the Higher Education Loans Board (HELB).
Clearance Certificate from an approved Credit Reference Bureau (CRB).
