Information about the Role
The Senior Assistant Office Administrator (Job Grade CUE 7) is a pivotal role within the Commission for University Education. This position is responsible for providing high-quality secretarial and administrative support to facilitate the efficient operation of the Commission. The incumbent handles sensitive documentation, manages official communication, and ensures that office protocols are strictly observed.
Responsibilities and Duties
Documentation and Transcription: Recording dictation in shorthand and accurately transcribing it into typewritten form; drafting and typing routine letters and memos.
Office Security and Management: Ensuring the security of office equipment, documents, and records; maintaining an up-to-date filing system.
Liaison and Communication: Attending to visitors or clients; handling telephone calls; managing diaries and scheduling appointments.
Meetings and Events: Arranging for meetings and preparing all necessary materials for discussions; organizing travel arrangements for staff.
Office Logistics: Reporting on the need for office repairs and requesting office stationery; supervising office cleanliness; and maintaining a register of all outgoing and incoming files and mail.
Etiquette and Protocol: Managing office protocol and etiquette to ensure a professional environment.
Skills, Experience, and Qualifications
Education: A Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC) or its equivalent from a recognized institution. Alternatively, Business Education Single and Group Certificates (BES & GC) from KNEC in required subjects.
Technical Certifications:
Typewriting III (Min 50 w.p.m.) or Computerized document processing III.
Shorthand II (80 w.p.m).
Business English II/Communications I.
Office Practice II.
Secretarial Duties II.
Commerce II.
Office Management III/Office Administration and Management III.
Experience: A minimum of four (4) years of relevant work experience in an administrative or secretarial capacity.
Technical Skills: Proficiency in computer applications from a recognized institution.
Performance: Demonstrated good results in work performance.
Legal Compliance: Must fulfill the requirements of Chapter Six of the Constitution of Kenya.
