Job Description
The United Nations is seeking a Senior Administrative Assistant (G7) to provide high-level support within its Administrative Law Division (ALD). This role involves a wide range of responsibilities across staff selection, budget management, and general administration, ensuring that the department operates in compliance with UN Staff Rules and Regulations.
Key Responsibilities
Staff Selection and HR Support
Coordinate the staff selection process, including the maintenance of files and tracking the status of job openings.
Provide information and advice to staff and consultants regarding conditions of service, duties, responsibilities, and entitlements under the Staff Rules and Regulations.
Budget and Finance
Provide expert assistance in the preparation and development of the ALD work programme and budget.
Monitor budget implementation and expenditures on a regular basis; suggest and implement resource reallocations as necessary.
Collect data from databases and prepare customized financial reports.
Review and analyze cost estimates and budget proposals concerning staff and non-staff requirements.
Assist managers in elaborating resource requirements for budget submissions.
Monitor extra-budgetary resources, ensuring compliance with cost plans, regulations, and established procedures.
Assist in the finalization of budget performance reports and analyze variances between approved budgets and actual expenditures.
Manage requisitions for goods and services to ensure correct expenditure charging and fund availability.
General Administration
Provide guidance, training, and daily supervision to other General Service staff within the area of responsibility.
Coordinate extensively with various ALD teams.
Perform administrative duties including monitoring official travel, accounts, and payments to consultants/contractors.
Handle physical space planning and identify office technology needs, including maintenance of equipment and software.
Contract Administration
Prepare and process UN forms and permissions for ALD staff, including UN grounds passes and swipe-card access.
Requirements and Qualifications
Education
A high school diploma or equivalent is required.
Experience
A minimum of ten (10) years of experience in administrative services, finance, accounting, audit, human resources, or a related area is required.
Candidates with a first-level university degree or higher require a minimum of eight (8) years of relevant experience.
At least two (2) years of experience in recruitment at the United Nations or a similar international organization is required, specifically including interviewing and candidate vetting.
Experience in result-based budgeting is mandatory.
Desirable Experience
Experience in change management, development, and implementation of new initiatives.
Experience in data analytics or a related field.
