Job Description
Peoplelink Consultants Ltd is seeking a qualified Secretary to manage administrative operations, executive schedules, and office correspondence in Nairobi.
Responsibilities
Manage executive calendars, appointments, and meeting schedules.
Prepare, type, and distribute correspondence, reports, and other official documents.
Receive, screen, and direct phone calls, emails, and visitors professionally.
Organize meetings, prepare agendas, take minutes, and follow up on action points.
Maintain accurate filing systems and employee records, both physical and electronic.
Coordinate travel arrangements, accommodation, and logistics where required.
Manage office supplies and ensure smooth day-to-day administrative operations.
Liaise with internal departments and external stakeholders on behalf of Management.
Handle confidential information with discretion and professionalism.
Support the preparation of reports, presentations, and other administrative documents.
Ensure timely handling of incoming and outgoing correspondence.
Perform any other administrative duties as assigned by Management.
Requirements
Diploma or Bachelor's Degree in Business Administration, Secretarial Studies, Office Administration, or a related field.
Minimum of 1-2 years' experience in a Secretary, Personal Assistant, or Administrative Assistant role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
Excellent written and verbal communication skills.
Strong organizational, planning, and time management skills.
Ability to multitask and work under minimal supervision.
High level of integrity, confidentiality, and professionalism.
Excellent interpersonal and customer service skills.
Strong attention to detail and problem-solving abilities.
