For nine years, Vision Plus has been Kenya’s trusted electronics brand, transitioning from a humble TV distributor to a comprehensive tech provider. We are seeking a process-oriented Sales Order Processing Executive to manage the end-to-end sales order lifecycle. This role is pivotal in ensuring that customer purchase orders from dealers, retail chains, and online platforms are verified, entered, and dispatched accurately within our systems.
Key Responsibilities
Order Management: Receive, verify, and accurately enter customer purchase orders (dealers, retail chains, online platforms, and corporate clients) into Zoho Inventory.
Stock Coordination: Confirm product availability with the warehouse team and coordinate stock allocation against approved orders.
Documentation: Generate proforma invoices, delivery notes, tax invoices, and credit notes in a timely and accurate manner.
Logistics Liaison: Work with the logistics and warehouse teams to ensure timely picking, packing, and dispatch of orders.
Order Tracking: Track order status from confirmation through to delivery; proactively communicate updates to sales representatives and customers.
Post-Sales Support: Process returns, exchanges, and credit claims in coordination with the after-sales and finance teams.
Reporting: Assist in generating daily, weekly, and monthly order processing and sales performance reports.
Compliance: Ensure compliance with company credit limits, pricing approvals, and authorization workflows before processing orders.
Data Maintenance: Maintain accurate and up-to-date records of all orders, shipments, and correspondence in Zoho CRM and Zoho Inventory.
Stock Reconciliation: Support periodic stock reconciliation exercises with the warehouse team.
Qualifications and Experience
Education: Diploma or Bachelor's degree in Business Administration, Commerce, Supply Chain Management, or a related field.
Experience: Minimum 2 years of experience in sales order processing, order management, or a similar operations role—ideally in FMCG, electronics, or distribution.
Technical Skills: Hands-on experience with an ERP or inventory management system (Zoho Inventory, SAP, Sage, or equivalent) and proficiency in Microsoft Excel and Google Sheets.
Local Knowledge: Familiarity with Kenyan VAT, ETR invoicing requirements, and standard trade documentation is an advantage.
Communication: Excellent written and verbal communication skills in English and Kiswahili.
Soft Skills: High attention to detail, strong numerical accuracy, a process-driven mindset, and the ability to work under pressure.
