Job Description
Sopa Lodges is seeking a Reservations Consultant to provide guests with memorable experiences and the warmest East African welcome. The role involves assisting partners and guests with booking options, managing reservations, and ensuring high service standards across our properties in Kenya and Tanzania.
Key Duties and Responsibilities
Processes
Assisting and advising DMCs: Help Destination Management Companies identify client specifications and suggest suitable solutions or services.
Making Reservations: Manage guest bookings based on their requirements and budgetary allowances.
Availability Checks: Monitor and confirm availability of accommodation on guests’ desired travel dates.
Issue Resolution: Resolve any problems that arise with bookings or reservations.
Agent Support: Answer inquiries from agents regarding the reservation process and provide support for amendments or cancellations.
System Management: Ensure reservation charts are updated timely and accurately, including full guest details (names, nationality, dietary requirements, medical restrictions, etc.).
Financial
Revenue Maximization: Achieve maximum occupancies and revenues through upselling and encouraging circuit bookings.
Upselling: Inform clients of additional services such as activities, spa treatments, or upgraded accommodations.
Payment Processing: Process payments and send confirmation details to agents, ensuring collections are on time and cancellations are charged.
Voucher Management: File vouchers correctly and issue service vouchers to agents.
Team and Partners
Collaboration: Communicate areas of concern and improvement with the team and ensure clear handovers during off-duty periods.
Relationship Management: Maintain strong relationships with clients, operators, and key accounts by providing guidance and support.
Systems and Tools
Data Management: Use the ResRequest system to log quotations, bookings, and relationship events, while monitoring agent performance.
Requirements
Bachelor's degree in Hospitality, Travel, Tourism, Business, or a relevant field.
Proven working experience as a Reservations or Tour Consultant.
Excellent knowledge of travel software (Computer Reservations Systems, GDS systems, and e-travel).
Proficiency in English; knowledge of additional languages is an advantage.
Exemplary sales skills and a customer-oriented approach.
Well-versed in various travel areas (domestic/international, group/individual, business/holidays, etc.).
Ability to present, persuade, and communicate effectively.
Demonstrable ability to handle crises.
Candidates with personal travel experience will be preferred.
