Job Description
Role Overview
The International Centre of Insect Physiology and Ecology (icipe) is seeking a Project Assistant to provide comprehensive project management support to the Vector Atlas PI, scientists, staff, consultants, students, and interns. The role is focused on ensuring the efficient and timely implementation of project activities through rigorous administrative and logistical coordination.
Key Responsibilities
Logistics Coordination: Manage all logistical aspects of project management activities, ensuring smooth execution of seminars, workshops, and training activities.
Documentation Management: Handle documentation regarding meetings and trainings, including compiling and sharing minutes and maintaining an effective filing system.
Communication: Support effective communication among project stakeholders, researchers, trainers, policymakers, and partner institutions.
Reporting and Documentation: Prepare reports, presentations, and other project-related documents to ensure alignment with project objectives and stakeholder requirements.
Resource Management: Assist in organizing the availability of necessary resources to facilitate learning sessions and project implementation skill development.
Event Planning: Coordinate the planning and organizing of internal and external meetings (including materials, registration, workshop programmes, and documentation).
Financial Administration: Process and follow up on project payments, including partner disbursements; maintain a database of payments for reference.
Travel and Accountability: Coordinate matters pertaining to travel advances, cross-checking, and accountability of employees within the unit.
HR Support: Facilitate staff and student recruitment and the renewal of contracts.
Requirements and Qualifications
First degree in a relevant field with experience in Project Management and/or Financial Management.
At least 2 years’ experience in project implementation, documenting, and reporting, preferably in an NGO setting.
Excellent organizational skills with strong attention to detail and time management.
Ability to multitask, define and set priorities, and solve problems effectively.
Effective communication and writing skills, particularly in note-taking and report writing.
Experience in facilitating teamwork and collaboration with partners at all levels.
Strong ability to anticipate and plan ahead, take personal initiative, and work both independently and as a team member.
Excellent interpersonal skills and the ability to work under pressure.
