Job Description
Victory Farms is a rapidly growing aquaculture company established in 2015. Located on the Kenyan side of Lake Victoria with distribution capacity throughout Kenya, the company is looking for a Procurement Assistant. The Procurement Assistant plays a critical role in supporting procurement operations, supplier management, inventory logistics, and compliance.
Key Responsibilities
Procurement Operations
Receive and review purchase requisitions from user departments.
Source quotations from approved suppliers in accordance with procurement policies.
Prepare quotation analysis and supplier comparison reports.
Raise and process Purchase Orders (POs) upon approval.
Follow up with suppliers to ensure timely delivery of goods and services.
Coordinate with requesting departments on procurement requirements and delivery schedules.
Supplier Management
Maintain and update supplier database and records.
Support supplier onboarding and due diligence processes.
Monitor supplier performance regarding quality, cost, and delivery.
Assist in resolving supplier-related issues and discrepancies.
Inventory and Logistics Support
Coordinate with stores and user departments to ensure proper receipt of goods.
Follow up on pending deliveries and back orders.
Support shipment tracking and logistics coordination where applicable.
Verify delivery documentation and ensure completeness of records.
Compliance and Documentation
Maintain accurate procurement records and filing systems.
Ensure all procurement activities comply with company policies and procedures.
Support procurement audits by providing required documentation.
Prepare procurement reports and spend analysis as required.
Cost Control and Reporting
Assist in identifying cost-saving opportunities.
Support market research and supplier benchmarking activities.
Qualifications & Experience
Bachelor’s Degree or Diploma in Procurement & Supply Chain Management, Logistics, or a related field.
3 years of experience in procurement, supply chain, logistics.
Skills & Competencies
Understanding of procurement principles and processes.
Strong analytical and numerical skills.
Excellent communication and interpersonal skills.
Good negotiation and supplier management skills.
Attention to detail and accuracy.
Proficiency in Microsoft Excel, Word, and ERP systems.
Ability to manage multiple tasks and meet deadlines.
