Role Overview
KenGen Staff Retirement Benefits Scheme is seeking a Procurement Assistant to support the processing, execution, and implementation of the procurement department’s policies and procedures. This role is essential for maintaining efficient procurement cycles, ensuring compliance with public procurement laws, and managing relationships with suppliers.
Main Duties and Responsibilities
Operational Roles and Responsibilities:
Procurement Processing: Process users’ requests for procurement and prepare tender documents including the sourcing of bids.
Committee Participation: Participate in tender opening, evaluation, disposal, and inspection and acceptance committees, alongside other procurement-related committees.
Guidance & Coordination: Coordinate tender openings and evaluations while providing technical guidance.
Communication: Prepare correspondence on all procurement matters in collaboration with the Supervisor.
Market Intelligence: Conduct market research on best practices and participate in the registration and pre-qualification of suppliers.
Contract Management: Draft contracts and coordinate reviews with the Supervisor and awarded service providers. Assist in contract implementation, administration, and maintaining custody of contracts.
Inventory Control: Conduct inventory, stock takes, and participate in the disposal of obsolete items.
Reporting: Prepare accurate, timely, and relevant procurement reports as required.
Supplier Evaluation: Participate in the periodic evaluation of suppliers and service providers.
Other Tasks: Perform any other duties as assigned by management.

Knowledge and Skills Required
Education: A Bachelor’s Degree in Procurement and Logistics, Supply Chain Management, Procurement and Contract Management, or any other Business-related degree from a recognized university.
Experience: A minimum of three (3) years of professional experience in Procurement.
Professional Certification: Professional Training certification in Procurement (e.g., CPSPK or CIPS).
Professional Body: Valid Kenya Institute of Supplies Management (KISM) Membership and a valid practicing license from KISM.
Soft Skills: Demonstrated leadership, supervisory, interpersonal, and team-building skills.
Competencies: Ability to work under pressure, proven problem-solving skills, knowledge of conflict management, and excellent negotiation skills.
