Job Description
The National Quality Control Laboratory (NQCL), a State Corporation within the Ministry of Health, is seeking a Principal Office Administrator for the CEO's Office. This role entails high-level administrative and secretarial support, ensuring the smooth operation of the executive office through meticulous schedule management, professional communication, and robust record-keeping procedures. The position is offered on a 1-year contract basis at Level NQCL 5.
Responsibilities
Office Management: Maintain the office diary, manage the CEO's schedule, and handle all appointments, workshops, conferences, and seminars.
Communication: Handle all incoming and outgoing correspondences, telephone calls, and manage office protocol and etiquette.
Data and Records: Ensure the security, confidentiality, integrity, and availability of office data, records, and documents, including classified materials. Maintain an up-to-date filing system and oversee archiving.
Operations: Undertake typing, data processing, and reprography; operate and manage office equipment efficiently.
Public Relations: Attend to visitors/clients and handle customer inquiries professionally.
Administrative Support: Prepare responses to routine correspondences and manage the office petty cash fund.
Compliance: Implement and monitor procedures for record-keeping and file movements.
Requirements and Qualifications
Experience: A cumulative service period of at least nine (9) years of relevant work experience, with at least three (3) years served at the Senior Office Administrator level or in a comparable position.
Education: A Bachelor’s degree in Secretarial Studies or a Bachelor of Business and Office Management from a recognized institution. Alternatively, a Bachelor’s Degree plus a Diploma in Secretarial Studies or equivalent qualification.
Professional Training: Completion of a management course lasting at least four (4) weeks from a recognized institution.
Technical Skills: High proficiency in computer applications.
