Tenwek Hospital is seeking a Health Records Officer to join the AGC Tenwek Cardiothoracic Centre. The successful candidate will be responsible for preparing, maintaining, and securing patient health records and charts, ensuring accurate, complete, and confidential documentation to support patient care, hospital operations, and regulatory compliance.
Key Responsibilities
Medical Records Management: Establish and maintain processes and procedures for medical records at the AGC Tenwek Cardiothoracic Centre.
Patient Documentation: Prepare patient charts by gathering necessary information, ensuring accuracy and completeness. Organize and maintain records for easy accessibility.
Admission & Discharge: Process patient records efficiently during admission and discharge phases.
Digital Record Keeping: Upload patient documents, reports, and consent forms into the relevant Health Management Information Systems (HMIS). Create and store digital copies of paperwork.
Data Privacy & Compliance: Ensure full compliance with Kenya Data Privacy laws by safeguarding patient records and maintaining high confidentiality.
Data Entry: Accurately transfer data into the facility's main system database.
Administrative Support: Assist patients with obtaining printed copies of medical records according to policy. Perform insurance-related tasks including SHA claim form preparation in coordination with clinical staff.
Decision Making: Make analytical and operational decisions based on data interpretation to inform daily work tasks.
Requirements
Academic: Bachelor’s degree in Health Records or an equivalent qualification from a recognized institution.
Experience: A minimum of 3 years of experience in health records management or a related field.
Certification: Professional training in Cyber Physical Systems (CPS).
Membership: Active professional membership/licensing with the Association of Medical Records Officers Kenya (AMRO-K).

Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and data management tools.

High standards of ethics, integrity, and compassion.
Self-motivated and able to work with minimal supervision.
